2 x Part time roles (0.5 FTE) contract until end of February 2020, based in DarwinAbout Menzies:As one of Australia’s leading medical research institutes dedicated to improving the health and wellbeing of Indigenous Australians, and a leader in global and tropical research into life-threatening illnesses, Menzies School of Health Research continues to translate its research into effective partnerships and programs in communities across Australia and the Asia-Pacific region.About the position:This position is responsible for providing a professional, friendly and effective front office reception for Menzies. The position will also provide general administration duties to staff, students and visitors, and is a key part of the Operations team. This position is based at the John Mathews Building, Royal Darwin Hospital Campus.The Receptionist will:Ensure reception is appropriately staffed and foyer remains presentable.Greet visitors, staff and students in a courteous and professional manner and ensure their host is contacted upon their arrival.Provide effective first point of call in person, by telephone or email for operational matters.Assist with new staff, student, visitor and contractor’s induction procedures regarding reception, operations and services.Be responsible for the coordination of mail, courier and freight services as required.Ensure stationery, consumables, and cleaning supplies are maintained, including stock take, and ordering for two Darwin sites (CDU and JMB).Assist staff/students in making online bookings for Menzies’ vehicles, meeting rooms and audio/visual equipment.Assist in the coordination of Menzies functions.Provide assistance to staff and visitors travelling in compliance with policies and procedures and maintain relevant accounts (eg, Uber and cabcharge).Maintain appropriate asset registers and organise fleet maintenance and servicing as required.Actively contribute to updating the Reception Procedures manual.Assist other Corporate units with general administrative tasks where required.Be familiar with all policies and procedures required to perform tasks effectively.The successful applicant will have:Ability to present a professional public image for Menzies at all times, even when under pressure, and ensuring foyer and reception areas are professionally presented at all times.Demonstrated ability to problem solve.Demonstrated systematic approach to completing tasks and ability to use initiative to prioritise workloads to meet varying deadlines.A willingness to learn, use initiative and contribute positively to a changing work environment, including ability to work as a key team member with routine supervision.Demonstrated technical and computer literacy and competence in the use of the Microsoft Office Suite, for a range of purposes, as well as various web-based service portals for online ordering of supplies.The ability to interact effectively with people from diverse cultures.Contact: Toni Boland on 08 8946 8416 or toni.boland@menzies.edu.au  What we offer:6 weeks annual leaveOption to increase super to 14%Attractive salary package and benefits $70,862 - $74,142 salary package (comprising gross salary $55,237 - $57,724, superannuation and salary packaging benefits).Closing date: Mid-day Friday, 30 October 2020 Aboriginal and/or Torres Strait Islander people are strongly encouraged to apply.For information on how to apply for this position and to obtain the Position Description and Selection Criteria please visit www.menzies.edu.au/careers or phone 08 8946 8626.   PD_Receptionist AUD Darwin
