Full-time (100% FTE), Fixed- term contract until 14 October 2022 About MenziesAs one of Australia’s leading medical research institutes dedicated to improving the health and wellbeing of Indigenous Australians, and a leader in global and tropical research into life-threatening illnesses, Menzies School of Health Research continues to translate its research into effective partnerships and programs in communities across Australia and the Asia-Pacific region.About the position:The Administration and Operations Officer plays a key role in Menzies’ Operations team. The Operations team is a service-oriented team providing facilities and administration support across Menzies. The Administration and Operations Officer will coordinate the daily activities and tasks of the Operations team and undertake projects and initiatives under the direction and guidance of the Supervisor. The Administration and Operations Officer will:Ensure Menzies reception is appropriately staffed and run, including training and supervising the receptionist and trainees deployed from time to time to assist with reception functions, and undertaking receptionist duties during times of absence of reception staff.Manage and coordinate a broad range of office and administrative activities across multiple sites, including but not limited to, procurement and distribution of office supplies and equipment (including IT), set up and allocation of workstations, and general maintenance of facilities through third party contractors.Schedule basic maintenance, upkeep and registration of company vehicles (2 – 3).Manage internal and external bookings of Menzies facilities including auditorium and seminar spaces in addition to providing basic support for use of technology and facilities.Maintain effective working relationships with key external stakeholders and contractors to facilitate effective service outcomes for Menzies.Facilitate and support the implementation of policies and procedures relevant to the effective delivery of Menzies Operations function, including developing and maintaining Operations procedure manuals, processes, filing systems and databases.Undertake Operations and Corporate Services related projects and initiatives in consultation and collaboration with other Corporate Service teams as appropriate.Any other tasks as reasonably required by the supervisor and/or manager, including assisting other Corporate Service teams.An understanding and awareness of relevant Workplace Health and Safety as well as Equal Opportunity principles and legislation along with a commitment to maintaining a healthy and safe workplace for all Menzies staff, students, volunteers and visitors.The successful applicant will have:Completion of degree without subsequent experience OR a completion of associate diploma with at least two (2) years of subsequent relevant experience OR an equivalent combination of relevant experience and/ education/training.Strong interpersonal and liaison skills with demonstrated ability to resolve matters professionally and effectively.Strong organisational skills with demonstrated ability to manage, prioritise and complete concurrent tasks and activities in a timely manner.Strong written communication skills, including an ability to prepare professional correspondence and documents for a broad audience.Excellent computer and technology skills across the suite of Microsoft Office products, web-based applications, video conferencing and audio-visual platforms and facilities, with the ability to troubleshoot under pressure and teach others to use facilities.A positive attitude and highly approachable demeanour with ability to quickly build a rapport with colleagues, management and stakeholders from varying backgrounds.A high level of initiative, sound problem solving skills and judgment, excellent attention to detail and the ability to complete tasks with minimal supervision.The ability to interact effectively with people from diverse cultures.Desirable:Basic understanding of service contracts and management of such contracts.Experience in a health research, health service or academic environment.Contact: Toni Boland on 08 8946 8416 or toni.boland@menzies.edu.au  What we offer:6 weeks annual leaveOption to increase super to 14%Attractive salary package and benefits $72,154 - $78,129 salary package (including superannuation and salary packaging benefits equivalent to a gross salary $93,473 - $ 100,405 pa, pro-rataClosing date:  Thursday, 5 August 2021Aboriginal and/or Torres Strait Islander people are strongly encouraged to applyApplicants are required to address the selection criteria.
